Two years ago I was uploading my cousin's SSC form at 11:58 PM — deadline midnight — and the portal spat back "Invalid file format." Her photo was a perfectly good WebP screenshot. The portal, built when flip phones were cool, only spoke JPG. I converted it in a minute, uploaded at 11:59, and spent the next day writing the checklist I'll give you now. Format rejections are the easiest upload problem to fix permanently — with our free converter and sixty seconds.
What portals actually accept
Indian government, exam and visa portals are conservative by design — they change slowly because millions depend on them. The near-universal spec:
| Requirement | Typical spec |
|---|---|
| Format ⭐ | JPG / JPEG only |
| Photo size | 20–50 KB typical (never exceed the max) |
| Signature size | 10–20 KB typical |
| Dimensions | Stated in pixels or mm — match exactly |
| Background | Plain white / light, no shadows |
Read YOUR form's instructions — caps vary (some allow 100KB, some demand 20–50KB). The format, though, is JPG essentially everywhere that matters.
The usual suspects: WebP, HEIC, PNG
- WebP screenshots — Chrome/WhatsApp save as WebP constantly now. Portals reject them on sight. Convert WebP → JPG.
- iPhone HEIC photos — Apple's efficient format that government portals have never heard of. Convert HEIC → JPG (open the HEIC in Safari/Chrome latest first — if it displays, it converts).
- Transparent PNGs — signatures and logos with alpha become black-box JPGs if converted blindly. Convert with a white background deliberately.
🚨 Don't just rename the extension!
Renaming photo.webp to photo.jpg changes the name, not the bytes — portals detect the real format and reject it (or worse, accept a file nothing can open later). Only a real re-encode counts. That's what converters are for.
The 60-second fix (any photo → JPG)
- Upload the rejected photo to the free converter.
- Select JPG, quality 90, background white (matters for PNG signatures with transparency).
- Download the real
.jpg— correct bytes, correct extension. - Check the KB. Still over the cap? Run it through the Image Compressor to land inside 20–50KB. Wrong pixels? Fix first with the Image Resizer.
When format wasn't the real problem
Half the "format errors" I investigate are actually dimension or size errors wearing a format costume — portals show one generic message for everything. If JPG conversion doesn't fix it, check: dimensions (413×531 for 35×45mm, 600×600 for US 2×2in), file size (under the stated max AND above any minimum — yes, some forms reject files that are too small), and background/lighting rules. My cropper's passport guide covers the framing half in detail.
The no-rejection checklist
- ✓ Real JPG bytes (converted, never renamed) with
.jpgextension - ✓ File size inside the window (e.g. 20–50KB — check min AND max)
- ✓ Exact stated dimensions in pixels
- ✓ White background deliberately set, not accidentally black
- ✓ Face 70–80% of frame, neutral expression, recent photo
- ✓ Uploaded from a stable connection (half-uploads corrupt and get misreported)

Why does the portal say invalid format for a JPG?
Usually it's a renamed file (WebP with a .jpg name), or the real complaint is size/dimensions behind a generic message. Re-convert properly to JPG, verify dimensions and KB against the form, and retry.
Can I upload HEIC photos directly to passport/visa portals?
No — convert HEIC to JPG first. On iPhone, the easiest path: open the photo (it displays), convert via our tool in Safari/Chrome, then upload the JPG. If your browser can't open it, our tool offers a one-click secure server conversion. Always verify the result opens as a normal photo before submitting.
